5 Workflow Templates That Save Our Team 8 Hours a Week

We practice what we preach at Flowdesk — our entire company runs on our own product. After a quarter of experimentation, our ops team narrowed down the templates that actually make a measurable difference.

1. Sprint Planning Board

Our engineering teams replaced three separate tools with a single Flowdesk sprint board. It combines a kanban view, a capacity tracker, and automated standup summaries. Each Monday, the board auto-generates the week's priorities from the backlog.

2. Content Calendar

The marketing team's content calendar links directly to draft documents, asset libraries, and publishing schedules. When a blog post moves to "Ready for Review," it automatically notifies the editor and creates a review checklist.

3. Meeting Notes + Action Items

This one's deceptively simple but saves the most time. Our meeting template auto-captures attendees, links to the agenda, and has a dedicated action items section that syncs tasks to individual to-do lists.

4. OKR Tracker

Every team's quarterly objectives live in a linked database with automatic progress rollups. Leadership can see real-time progress without scheduling a single update meeting.

5. New Hire Onboarding

Our onboarding template reduced time-to-productivity for new hires from 3 weeks to 8 days. It includes a day-by-day guide, key contacts, tool access checklists, and a 30-60-90 day plan.

All five templates are now available in the Flowdesk template gallery. Try them out and let us know what you think.
